Configure Competencies Form

The Competency form is already pre-populated with a list of competencies. HR manager/ admin can modify the form to add, modify, or delete the competencies on the form. You can also override the automatically calculated rating score on the form.

To Configure Competencies Form, HR manger needs to:

  1. Follow the steps 1-4 given on the Configure Performance Appraisal Forms page.
  2. Click Edit button corresponding to the Competency Form. The form appears in editable form, as shown in Figure 1.

    If you don’t find the relevant form, click Add new form button to add the Competency form.

  3. Customize help instructions for the Competency Form in the HELP DISPLAYED TO THE USER text field as per your requirements. This field is useful, especially when you modify certain fields and want to provide help on those fields.

    By default, HELP DISPLAYED TO THE USER checkbox is marked. If you do not want to show help instructions to the user on the Competency form, uncheck this checkbox.

  4. The ATTRIBUTES section displays the existing competencies on the page and allows you to add/delete/ modify them (as shown in Figure 2).Figure 2

    a.  Click or icon to change the sequence of the appearance of the competencies on the form.

    b.  Click icon for an attribute under Actions column to delete a particular competency from the form.

    c. Modify an Attribute on the FormTo modify the attributes on the form, you need to:

    1. Follow steps 1-4 given on the Configure Performance Appraisal Forms page.
    2. Click Edit button corresponding to the Competency Form.The form appears in the editable form.
    3. Click icon for an attribute under Actions column to modify the attribute (refer Figure 2).The Attribute mapping >Modify window appears, as shown in Figure 3.Figure 3
    4. Provide the name, title, group name, weight and description for the attribute in the respective fields.By specifying weight for an attribute, you can configure the relative importance of the attribute with other attributes. Make sure you adjust the weight of other attributes in such a way that the total weight of all the attributes comes out to be 100.
    5. Click Save.

      The attribute is successfully modified and a message suggesting the same appears on the top, as shown in Figure 4.Figure 4

    d. Create an Attribute on the Form

    To create a new attribute on the form, follow the steps given below:

    1. Follow steps 1-4 given on the Configure Performance Appraisal Forms page.
    2. Click Edit button corresponding to the Competency Form. The form appears in the editable form.
    3. Click Create an attribute button given at the bottom of the Attributes section, as shown in Figure 5.Figure 5The Attribute mapping > Add page appears, as shown in Figure 6.Figure 6
    4. Provide the name, title, group name, weight and description for the attribute in the respective fields.By specifying weight for an attribute, you can configure the relative importance of the attribute with other attributes.     5. Click Save.

      The attribute is successfully created and a message suggesting the same appears on the top.The Attribute “Manage Team” is successfully added and can be seen in the Attributes section as shown in Figure 7. You can see the change in the value of weights of an attribute ‘Work Products’. This has been done to keep the total weight as 100.  Figure 7

    e. Add an existing Attribute on the form

    To add an existing attribute to the form, you need to:

    1. Follow steps 1-4 given on the Configure Performance Appraisal Forms page.
    2. Click Edit button corresponding to the Competency Form. The form appears in the editable form.
    3. Click Add button from the Attributes section.The Attribute mapping > Add an attribute to the form window appears as shown in Figure 8.

    4. Click on the Select attribute dropdown and select the attribute that you want to add from the list of attributes that appears.
    5. Specify the weight of the attribute in the weight field and then click Save.Make sure you adjust the weight of other attributes in such a way that the total weight of all the attributes comes out to be 100. To change weight of an attribute, follow help instructions mentioned above on this page in Modify an attribute on the form section [Point c (6)].The form is successfully updated with the new attribute ‘Innovation Management’ (as shown in Figure 9) and a message suggesting the same appears on the top.You can see the change in the value of weights of an attribute ‘Complexity’.     f. Configure Ratings Settings on the Form

    To configure the rating settings for the Competency Form, you need to:

    1. Follow steps 1-4 given on the Configure Performance Appraisal Forms  page.
    2. Click Edit button corresponding to the Competency Form. The form appears in the editable mode.
    3. Select the Override automatic score calculation by a rating option.The related fields appear as shown in Figure 10.Figure 10

    4. Select the rating that you want to override from the Rating field.You can click Manage Rating to add a new rating if you don’t find the appropriate rating in the Rating dropdown. To know how to add/ modify a new rating click Modify Rating.
    5. Select the Employee can enter above rating? option if you want to allow the selected rating to be overridden by the employee’s ratings and select Manager can enter above rating? option if you want the selected rating to be overridden by the manager’s ratings.
    6. Select Check to allow the capture of achievements by employees and managers for each attribute on the form and click Save to save the configurations on the form.
